ADMINISTRATIVE INFORMATION

Restriction on access: The collection is available for supervised use by appointment during normal Boynton Beach City Library hours. Users are required to complete a registration form and comply with the library’s regulations governing use.

Terms governing use and reproduction: Materials in the collections are to be used for private study, scholarship, or research in accord with the copyright law of the United States (Title 17, United States Code). The Boynton Beach City Library adheres to all conditions specified in the law when providing reproductions of copyrighted material. COLLECTION DESCRIPTION

Biographical/Historical Note: The Friends of the Boynton Beach City Library was organized May 3, 1963 by men and women representing several Boynton Beach service clubs and organizations. Their stated purpose was to focus public attention on the Boynton Beach City Library and stimulate use of its resources. The group was to support the library in developing services and facilities for the community and to provide funds for the purchase of reference books for the use of students enrolled in local and neighborhood schools. Few records of the early years of the Friends of the Library exist, and from 1970 through 1981 very little organized activity appears to have occurred. A group of twelve people met March 24, 1981 to reorganize the Friends of the Boynton Beach City Library. By-laws were adopted in June 1981 and Florida State Articles of Incorporation of the non-profit Friends of the Boynton Beach City Library were obtained in December 1981. In March 1982, the first newsletter of the Friends was published, in 1989 the first Annual Author Luncheon, and in 2009 the Friends’ Bookstore was founded. Other projects include book sales, the Brown Bag Series, the bookmark contest for the library’s youth, Adopt-a-Shelf, Books for Shut-ins, and collecting soup labels/Publix receipts/Green Stamps aided the operation of the library and helped fund programs.

Scope and Content Note:  Papers of the Friends of the Boynton Beach City Library include bylaws and amendments; correspondence; meeting minutes and organizational reports; membership records; book sale records; event materials, including annual author luncheon, Bookfest of the Palm Beaches, bookmark contests; membership appeals; photographs; and scrapbooks.

Arrangement Note: Arranged by series/sub-series, chronologically within each.  The collection consists of 19 series: 

  • Series 1 consists of information about the Annual Author Luncheon. Typically included are author publicity, organizational correspondence, receipts, accounting of income from the event, prize contributors, and programs.
  • Series 2 includes Annual Meeting agenda, minutes, and reports. Typical reports included are: President’s report, Treasurer’s report, committee reports (Accommodation Desk, Adopt-a-Shelf, Books for Shut-ins, Brown Bag Series, Hospitality, Membership, and Sunshine), report on the newsletter, and volunteer hours.
  • Series 3 is comprised of Awards and consists of two sub-series.  
    • Sub-Series 1 is made up of Awards to the Friends from other organizations, including Florida Public Library Association and Florida Library Association. 
      • Sub-Series 2 consists of Awards from the Friends to Volunteers in the Library. These awards were based on number of hours worked in a year and were given as pins and bars at the annual meeting. Of special note is a copy of a 1992 award to Virginia Farace, in the form of a luncheon and an annual endowment.
  • Series 4 includes monthly board meeting agenda, minutes, and reports. Chiefly Treasurer’s reports and special event update reports are included.
  • Series 5 consists of the files regarding the Bookmark Contest sponsored by the Friends for six years in the 1990s. The contest was for grades K through 5 and was held in the fall. Most local schools participated in the event. An awards ceremony was held and the winning bookmarks were reproduced and distributed in the library.
  • Series 6 contains two sub-series.
    • Sub-series 1 is information regarding Friends’ book sales.
    • Sub-series 2 is information about the Friends participation in BookFest of the Palm Beaches.  
  • Series 7 includes records of the Friends bookstore.
  • Series 8 is the Brown Bag Series of lectures organized and sponsored by the Friends.
  • Series 9 includes the Friends of the Library By-Laws and all the subsequent amendments. This series contains historical information about the Friends and the Library, the purpose of the Friends organization, Articles of Incorporation, goals and objectives, resolutions, and other organization papers. It also includes a 1990 proclamation honoring Elizabeth White, then president of the Friends.
  • Series 10 is correspondence that pertains to the Friends of the Boynton Beach City Library.
  • Series 11 contains the financial records of the Friends and includes four sub-series. 
    • Sub-series 1 is banking and investments that primarily consist of resolutions by the board approving investment changes or allowing specific board members access to the accounts. 
    • Sub-series 2 is endowment records, the inactive records of money donated to the Friends to endow specific books to the library in perpetuity. These records consist of brochures, policies, and reports. The active endowment records are maintained by the library’s collection development personnel.
    • Sub-series 3 is enhancement records, documenting renovations or furnishing purchases made by the Friends for the Boynton Beach City Library. Records include correspondence, proposals, budgets, invoices, and reports.
    • Sub-series 4 includes Federal and Florida State tax records: tax exempt status, corporate income tax filings, corporation annual reports, Florida registration to collect sales tax, Florida tax exempt certificate (for paying sales tax), and annual registration as a Charitable Organization in the State of Florida.
    • Sub-series 5 is Treasurer’s reports issued monthly at the board meetings and annually in March at the annual meetings.
  • Series 12 includes several fund raising appeals, including a Valentine Tree, Holiday Tree Ornaments, Special Occasion Book Plate Donation, and end of the year appeals.
  • Series 13 consists of membership records, primarily annual membership lists. Also included are annual number of volunteer hours, brochures about the Friends, application forms, policies and procedures, membership cards, membership reports, and a volunteer release form. Of special notice is a copy of a program for the memorial service for long-time member Elizabeth Armstrong.
  • Series 14 is collected news articles about the Friends of the Library and their activities.  
  • Series 15 is made up of lists of the Board of Directors and the Officers of the Friends of the Library. An undated biography of Past President Elizabeth White is included in this series.
  • Series 16 consists of photographs that document Friends of the Library events and members.
  • Series 17 includes a miscellany of programs and projects sponsored by the Friends of the Library, including: the adopt-a-shelf program, a book club for members, a book exchange, books for shut-ins, participation in the 1989 library dedication, a project to collect Publix receipt tapes for local schools, purchase and dedication of a statue in the library in honor of Director Virginia Farace’s retirement, a system analysis project, and a Valentine’s Day Program.
  • Series 18 is comprised of publications of the Friends of the Library.
    • Sub-series 1 is the Friend to Friend Newsletters published a various times throughout the year.
    • Sub-series 2 is other publications by the Friends of the Library, including a booklet published for Boynton Beach’s Centennial in 1995 entitled Boynton Beach, The First 100 Years. This publication was jointly produced with the Boynton Beach Historical Society.
  • Series 19 consists of scrapbooks made by the Friends of the Library to record its activities. The scrapbooks have been removed from acidic pages and have been remounted. The types of information included in the scrapbooks include: photographs with descriptive labeling, newsletters, correspondence, awards, flyers, event programs, bookmarks, and other ephemera.
